A growing SaaS company had a fragmented operations stack: leads coming in via multiple channels, manual follow-up processes, disconnected CRM entries, and no visibility into what was actually converting.

Workflows Built

Using n8n as the automation backbone, I designed and deployed 8 interconnected workflows:

  • Lead Capture โ†’ CRM: Typeform and website form submissions automatically create HubSpot contacts, tagged and scored by source
  • Email Sequences: New leads receive personalized drip emails based on their service interest, triggered via Mailchimp API
  • Slack Alerts: Sales team gets instant Slack notifications for high-value leads (company size > 50, budget > $5k)
  • Invoice Processing: New Stripe payments auto-generate and email invoices, update accounting spreadsheet, and log to Notion
  • Weekly Reports: Every Monday, an automated summary of new leads, conversion rates, and revenue is sent to the founders

Results

Over 20 hours of manual admin work eliminated per week. Lead response time dropped from hours to under 5 minutes. The founders now have a real-time dashboard showing every stage of their funnel.
